Event management essentials you must look into to organize successful programs#1: Double-check the speakers and entertainers Have you ever attended an event where the keynote speaker made a brilliant presentation which had nothing to do with the focus of the seminar? That's bad event management. Speakers (and entertainers) can literally make or break events. Find out if they are well-suited to your audience and if they can manage to deliver on the essentials of the events. How do you check them out? Network with fellow meeting planners. That's part of how to become a conference and event planner. Get references from prospective speakers. Ask these references lots of questions. How many times has this person heard the speaker / entertainer perform? What did they like and dislike about the speaker? What is the reference's relationship to the speaker? Develop a checklist on what to ask. #2: Purchase event insurance Today, event insurance is part of the essentials of conference management. Something unexpected happens, attendance drops dramatically and you're forced to refund money. Speakers and entertainers fail to show up. You face strikes and other disruptions. You can't plan for and manage it all. Anticipate what events could create problems for your conference. What are the financial and legal consequences? Make sure you have adequate cover. Add this point to your checklist for event planning and management. #3: Always, always read the fine print As the event planner and organizer, you're expected to be on top of everything. If you do not read the fine print on all contracts, agreements, orders, etc and do not know all plan details, then you might be putting yourself at risk. The way to minimize risk is to familiarize yourself with all aspects of the events. Take care of these event management essentials and you're much better placed to put on successful events.
